Mailing Lists

RWS Mail makes it easy manage your mailing list and subscribers. Before you can send an email, you must first create your first mailing list. Mailing list consist of subscriber’s names, email addresses and other important information. Mailing lists help you stay organized with your subscriber data and include tools that will enable you to quickly grow your mailing list.

Create Mailing Lists

Go to Lists > Create List to create a Mail List.

Step 1- Enter List Details
  • Name - Give the list a name. For example, Open House Prospects.

  • Default From email address - Email address that will appear as the sender’s email.

  • Default From name - Default name that will appear as the sender’s name.

  • Default email subject - Default subject that will appear as the email’s subject.

Step 2- Enter Required Contact Information

The list contact information will populate with info you provided during the initial setup process. You can edit the contact info for the specific list as you require.

Step 3- List Settings

List settings include optional list features that can be enabled or disabled.


  1. Send subscription confirmation email (Double Opt-In) - When people subscribe to your list, send them a subscription confirmation email.

  2. Send unsubscribe notification to subscribers - Send subscribers a final “Goodbye” email to let them know they have unsubscribed.

  3. Send a final welcome email - When people opt-in to your list, send them an email welcoming them to your list. The final welcome email can be edited in the List -> Forms / Pages management.           

Adding Subscribers to your List

You can add subscribed contacts one-by-one, upload contacts from a file or use a web form for subscribers to sign up.


Large lists of subscribers can be imported into your mailing list by uploading a Microsoft Excel compatible CSV file. Please remember to always make the EMAIL column first in the CSV file you wish to import.


In order to import your CSV list you must first make sure your List Fields are properly configured.

1-Go to the Manage List Fields tab for the list.

2-Take note of the fields, in particular please note the Tag column. The Tag column is used to match the CSV columns to the list fields.

3-Make sure the first row in the CSV file matches the Tag column. The CSV header row must be uppercase just like the Tag column. The first column in the CSV must be the EMAIL column. Never delete the EMAIL field as it is required for each subscriber.

4-After you have ensured the required columns match the list columns you may proceed to import your CSV file.

5- Go to the Import page for the list you wish to import subscribers to. Click the upload file field and select the CSV file you wish to upload. Finally click the import button to start the file import.


Managing Lists

All subscribers must have explicitly provided you with permission to send them email marketing. We do not allow unsolicited email marketing or SPAM. As an email service provider (ESP), we are required to enforce spam laws. Spam negatively impacts deliverability rates, and we want to make sure your emails reach their recipients.


To protect your sending reputation and our own, we carefully monitor abuse reports so that we can immediately pinpoint any problems as they arise.


We highly recommend having documented proof of subscriber consent. The double opt-in signup form and email verification will provide you the archived evidence of subscriber consent. Subscribers can also unsubscribe or request to be removed from the mail list.

RWS Mail includes embedded forms and customizable pages to help you build your mailing list.

Landing pages allow visitors to subscribe, unsubscribe and manage their profile. Every list includes customizable landing pages that help you grow your mailing list and increase subscribers.

  1. Sign-up form - Page for your contacts to sign up for a specific mailing list.

Embedded Forms

You can create embedded forms for your contacts to sign up for a specific list. Embedded forms can be displayed within your own website. Simply copy & paste the provided embed code onto your website to display the custom signup form.


Custom Fields

Custom fields can be added for each list. Custom fields can be created to meet your needs. The custom fields can be mandatory or voluntary. You can choose to show/hide the custom field on landing pages and embedded forms.


There are several types of fields available for storing subscriber data.

  • Text - Contacts provide typed responses. This field type is good for general questions, but character limits for list fields prevent long responses.

  • Number - Contacts provide any number, like age or an ID number. We recommend you use the Zip Code field for zip codes.

  • Radio Buttons - Contacts choose only one of a predefined set of options.

  • Check Boxes - Contacts select one or multiple options to select different interests.

  • Drop Down - Contacts choose only one of a predefined set of options.

  • Multi Select - This field can be used to select multiple values.

  • Date - Contacts specify a date, including month, day, and year…

  • Date Time - Contacts specify a date and time…

  • Textarea - Contacts can enter a long text response.


List fields can be used for automation and triggering workflows. For example, you can create a custom field for the contact’s birthday. Next, using the Automation feature, you can trigger an automated email be sent to the contact on their birthday.



To see a contact’s details, simply click their name. From here you can view the contact’s custom fields, geographical data and most recent activity.
